Booking Terms & Conditions

These Terms & Conditions apply to bookings at Karaoke Box locations. Certain opening hours, licensing conditions, facilities and services may vary by venue.
By making a booking online, by telephone, by email or in person, the person making the booking (“Lead Booker”) accepts these Terms & Conditions on behalf of themselves and their party. The Lead Booker is responsible for ensuring that everyone attending the booking is aware of and complies with them.
1. Bookings & Payment
- All standard private karaoke room bookings must be paid in full at the time of booking, unless otherwise agreed by Karaoke Box in writing.
- A booking is not confirmed or held until the required payment has been received and confirmation has been issued.
- The minimum booking duration is two hours, unless a shorter booking has been agreed with Karaoke Box in advance or is offered by the venue.
- Once your session is under way, additional time may be added in 30-minute increments, subject to availability. Extensions are arranged with the venue on the night and cannot be booked online in advance.
- Same-day telephone and walk-in bookings are subject to availability and the venue’s operating hours.
- We recommend booking in advance, particularly for evenings, weekends, larger rooms and the Festive Period.
2. Standard Cancellations & Rescheduling
The following applies to standard private-room bookings outside the Festive Period.
72 hours or more before the booking
- The Lead Booker may cancel the booking and receive a refund, less a 10% administration fee, or reschedule the booking once without an administration fee.
- The administration fee contributes towards payment-processing and administrative costs associated with the original booking and cancellation.
Less than 72 hours before the booking
- The booking is non-refundable.
- Karaoke Box may consider exceptional circumstances at management’s reasonable discretion, but customers should not rely upon this when making a booking.
Rescheduling
- Bookings may be rescheduled once with at least 72 hours’ notice, subject to availability.
- The replacement booking must normally take place within three months of the original booking unless otherwise agreed.
- Rescheduling does not restart the cancellation period.
- If the replacement booking costs more, the difference must be paid. If a cheaper date, time or room is selected, the difference will not normally be refunded.
Same-day bookings
- Same-day bookings and walk-in bookings are non-refundable and non-transferable once confirmed.
All cancellations and changes must be made directly with Karaoke Box and are only effective once confirmed by us.
3. Private Events & Exclusive Venue Hire
Private events, exclusive or semi-exclusive venue hire and other bookings designated by Karaoke Box as private events are subject to the following additional conditions.
Confirmation & Deposit
- A 50% deposit is required to confirm and secure a private or exclusive event booking, unless otherwise agreed in writing.
- A provisional date may be held for a limited period while arrangements are being finalised, but the event is not confirmed until the required deposit has been received and Karaoke Box has issued written confirmation.
Final Payment
- The remaining balance must be paid in full no later than 7 days before the event, unless a different payment schedule has been agreed in writing.
- Bookings confirmed within 7 days of the event require full payment at the time of confirmation.
- Any agreed food and drink pre-orders, entertainment, additional services or other event costs must be paid by the applicable payment deadline.
Cancellation
Because private and exclusive events reserve a substantial part or all of the venue and may prevent us from accepting other bookings, different cancellation conditions apply.
- Cancellation must be made at least 14 days before the event.
- Where cancellation is made at least 14 days before the event, amounts paid will be refunded less the 50% booking deposit, together with any additional non-recoverable costs already incurred specifically for the event where applicable.
- Where cancellation is made less than 14 days before the event, payments made are non-refundable, subject to applicable consumer law and circumstances where Karaoke Box is responsible for being unable to provide the event.
Rescheduling
- A private or exclusive event may be rescheduled once with at least 7 days’ notice, subject to availability.
- Payments already received will normally be transferred to the replacement date.
- The replacement event must normally take place within six months of the original event date.
- If the replacement event costs more, the difference must be paid.
- Rescheduling does not restart the applicable cancellation period.
Final Details
- Final guest information, dietary requirements, food and drink pre-orders, entertainment requirements and other agreed event details should normally be confirmed no later than 7 days before the event.
- Special items, external suppliers, entertainment, equipment or other services ordered specifically at the customer’s request may remain chargeable where those costs cannot reasonably be recovered.
- Any bespoke terms agreed in the written event confirmation will take precedence over the standard room-booking terms where the two differ.
4. Festive Period
Our Festive Period runs from 20 November to 23 December inclusive.
This is one of our busiest trading periods and special booking conditions apply.
- Festive Period bookings require full payment in advance and are non-refundable, except where required by law or where Karaoke Box is unable to provide the booked service.
- A Festive Period booking may be rescheduled once with at least 72 hours’ notice, subject to availability.
- The replacement booking must normally take place within three months and cannot be moved into another Festive Period unless agreed by Karaoke Box.
- Requests received less than 72 hours before the booking are not normally eligible for refund, credit or rescheduling.
- No-shows and same-day cancellations are non-refundable and cannot be rescheduled.
- Food, drinks, entertainment or other items specifically ordered or prepared for the booking may remain chargeable.
5. Christmas & New Year Closures
Karaoke Box is closed on:
- 24 December – Christmas Eve
- 25 December – Christmas Day
- 26 December – Boxing Day
- 1 January – New Year’s Day
Opening hours on other dates during the Christmas and New Year period may differ from normal trading hours. Customers should check the applicable venue’s opening hours when booking.
6. Arrival & Booking Times
- Your booking starts and finishes at the times shown on your confirmation.
- We recommend arriving approximately 10–15 minutes before your booking to allow time for check-in.
- Where bookings are back-to-back, we may require approximately 5–10 minutes between sessions so that the previous party can leave and our team can clean, check and prepare the room.
- If you arrive late, your booking will normally still finish at its scheduled time.
- However, if you contact us to advise that you are running late, we will do our best to accommodate the lost time, subject to room availability, subsequent bookings and the venue’s closing time. Additional time cannot be guaranteed.
- If Karaoke Box itself causes a significant delay, we will make reasonable efforts to provide the full booked duration or an appropriate alternative.
7. Late-Night Bookings & Closing Times
- Opening and closing times vary between Karaoke Box locations and customers should always check the applicable venue’s published hours.
- For booking purposes, sessions after midnight may form part of the previous evening’s trading day. Customers should therefore check both the date and time carefully before confirming a late-night booking.
- Bookings, extensions and walk-ins must finish within the applicable venue’s opening and licensing hours.
- As a general rule, final entry and walk-in bookings are approximately one hour before the venue closes, unless otherwise stated by the venue.
- Late arrival does not entitle a booking to continue beyond the venue’s permitted closing time.
8. No-Shows
- No-shows are not eligible for a refund, credit, transfer or rescheduling.
- Karaoke Box reserves the right to release and resell a room if a party has not arrived within 30 minutes of its booked start time and has not contacted the venue.
- If you expect to be late, please contact us as soon as possible.
9. Party Size & Room Capacity
- Every karaoke room has a maximum safe capacity which must not be exceeded.
- Bookings are allocated according to the party size provided by the Lead Booker.
- If fewer guests attend than originally booked, the original room charge remains payable and no refund or credit will be provided.
- Additional guests must be declared to reception and may only be admitted where room and venue capacity permits. Additional charges may apply at the current venue rate.
- Karaoke Box may refuse additional guests where admitting them would create overcrowding or licensing, operational or safety concerns.
- Where multiple rooms have been booked and the party subsequently decides to use fewer rooms, the unused rooms remain chargeable and Karaoke Box may resell them.
10. Room Allocation
- Room sizes, layouts, capacities and facilities vary.
- Where reasonably necessary for operational purposes, Karaoke Box may move a booking to another suitable room of equivalent or appropriate capacity.
- We will endeavour to ensure that this does not materially affect the customer’s experience.
11. Age Policy & Identification
- Guests under 18 may attend permitted bookings but must leave the premises by 6:00pm.
- Bookings involving guests under 18 must be declared to the venue in advance.
- Valid photographic identification may be required as proof of age.
- Karaoke Box and its security team reserve the right to conduct lawful and reasonable identification and bag checks as a condition of entry.
- Entry may be refused where appropriate identification cannot be provided.
- Age restrictions may be updated or vary where required by a particular venue’s premises licence. Customers should therefore check the age policy applicable to their chosen location before booking.
12. Entry, Behaviour & Venue Conduct
We want Karaoke Box to remain a safe and enjoyable environment for guests and staff.
- We operate zero tolerance towards threatening, aggressive, abusive, discriminatory or violent behaviour; harassment or intimidation; deliberate damage; serious disruption to other guests; or behaviour creating a significant safety risk.
- Guests must follow reasonable instructions from management, staff and security.
- Karaoke Box may refuse entry or require a guest to leave where reasonably necessary for safety, security, licensing requirements or a serious breach of these Terms.
- Where a booking is terminated because of serious misconduct by a customer or their party, the unused portion of the session will not normally be refundable.
- Guests who appear excessively intoxicated or whose condition or behaviour creates a safety concern may be refused entry or service.
13. Safety & Prohibited Activities
- Standing, climbing or jumping on sofas, tables, stools or other furniture is prohibited.
- Smoking and vaping are prohibited inside the venue and karaoke rooms.
- Large bags and other items must not obstruct bars, corridors, stairs, doorways, fire exits or escape routes.
- Fire exits and escape routes must remain clear at all times.
- Strippers, adult entertainment, external performers or entertainers are not permitted unless expressly approved by Karaoke Box management in writing before the booking.
- Any external entertainment or activity that may affect licensing, safety, other guests or normal venue operations requires prior written approval.
14. Food & Drink
- Outside food and drink may not be brought into or consumed within Karaoke Box unless expressly agreed in advance.
- Food and drinks are available to purchase at our venues and are charged separately from room hire unless expressly included within a package.
- Birthday cakes are permitted.
- For fire and safety reasons, only one or two standard birthday candles should normally be used and staff instructions must be followed.
- Sparklers, indoor fireworks and similar items are prohibited.
- Confetti, glitter, table scatter and similar loose decorations that create excessive mess or a safety hazard are not permitted.
- Other decorations must be approved by the venue where appropriate and must not damage walls, furniture, fixtures or equipment.
15. Food & Drink Pre-Orders
- Customers are encouraged to place food and drink pre-orders as early as possible.
- Where possible, orders should be submitted approximately 7 days before the booking, particularly for larger parties.
- The latest normal deadline is 72 hours before the booking, unless the venue agrees otherwise.
- Pre-orders are not confirmed until accepted by Karaoke Box.
- Menu availability, kitchen capacity and maximum quantities may vary by venue and during busy periods.
- Dietary requirements and allergies should be communicated when placing the order.
- Applicable service charges will be communicated as part of the order.
- Festive menus, kitchen hours and deadlines may differ during the Festive Period.
16. Service Charge & Bar Tabs
- A 12.5% discretionary service charge may be added to food and drink tabs and pre-orders.
- The holder of a bar tab is responsible for settling the full balance before leaving the venue.
- Where a payment method has been provided and appropriately authorised for a tab, Karaoke Box may use it to settle properly incurred outstanding charges where legally permitted.
- Room charges and bar tabs may be split across a maximum of four payment cards, subject to venue procedures.
17. Damage
- Guests must treat karaoke rooms, microphones, screens, furniture, fixtures and equipment with reasonable care.
- The Lead Booker may be responsible, to the extent permitted by law, for damage deliberately or negligently caused by themselves or members of their party.
- Karaoke Box may charge the reasonable cost of repairing or replacing damaged property and other direct losses resulting from serious damage.
- Serious or deliberate damage may result in immediate termination of the session without refund and may be reported to the police.
18. Excessive Cleaning
- Normal cleaning between bookings is included.
- Where a room or venue requires cleaning substantially beyond normal use because of a guest’s actions, Karaoke Box may charge a reasonable additional cleaning fee reflecting the work required.
- This may include significant staining, sickness, food or drink spillage, prohibited decorations or other excessive mess.
19. Personal Belongings & Lost Property
- Guests remain responsible for their belongings while on the premises.
- Karaoke Box cannot accept responsibility for personal belongings which are lost, stolen or left unattended except where liability cannot legally be excluded.
- Lost property handed to reception will normally be retained for up to 14 days, after which it may be disposed of or donated.
- CCTV is operated and handled in accordance with applicable data-protection and security requirements. Footage will not normally be shown directly to customers at the venue and requests will be handled through the appropriate process.
20. Karaoke Equipment & Song Availability
- Our karaoke systems and song catalogue are regularly maintained and updated.
- Individual songs, versions or features may occasionally be unavailable because of licensing, software, network or technical issues. The temporary unavailability of an individual song does not normally entitle a customer to a refund.
- If a significant technical problem affects your session, please notify staff immediately so that we have an opportunity to resolve it.
- If we cannot resolve a significant problem within a reasonable period, management will consider an appropriate remedy based on the circumstances.
- Unless otherwise stated, rooms support a maximum of two active microphones at the same time.
21. Opening Hours, Final Entry & Bar Service
- Opening hours vary by venue and day.
- Customers should check the current opening hours applicable to their chosen Karaoke Box location.
- Final entry is normally approximately one hour before closing, unless otherwise stated by the venue.
- Bar service may finish before the venue closes in accordance with licensing requirements.
- Opening, closing and bar-service times may occasionally need to change because of licensing, safety, emergencies or circumstances outside our reasonable control.
- Where a change made by Karaoke Box materially affects a prepaid booking, we will provide an appropriate remedy in accordance with these Terms and applicable law.
22. Special Requests & Events
- Special arrangements—including private bartenders, entertainment, decorations, equipment, food packages or other bespoke requests—must be agreed with Karaoke Box in writing.
- Verbal arrangements are not considered confirmed.
- Where possible, special requests should be made at least 7 days before the booking.
- Availability and additional charges may apply.
- Certain services may be restricted or unavailable during the Festive Period.
23. Circumstances Outside Our Control
- Events outside our reasonable control may occasionally prevent or materially affect a booking.
- These may include emergencies, serious technical or utility failures, fire, flooding, severe weather, government restrictions or other circumstances which we could not reasonably prevent.
- We will take reasonable steps to minimise disruption.
- Where Karaoke Box is unable to provide the booked service, an appropriate remedy may include rescheduling, credit or a refund where appropriate and required by law.
24. Liability
- Nothing in these Terms excludes or limits liability which cannot legally be excluded or limited.
- Karaoke Box will provide its services with reasonable care and skill.
- We are not responsible for losses which were not reasonably foreseeable when the booking was made or which result from the customer’s own actions or failure to comply with these Terms.
- Nothing in these Terms affects your statutory consumer rights.
25. Management Discretion
- Venue management may make reasonable operational decisions required to protect customers and staff, comply with licensing obligations, maintain security and safety or respond to circumstances arising during trading.
- Any discretion under these Terms will be exercised reasonably and does not override statutory consumer rights.
26. Changes to These Terms
- Karaoke Box may update these Terms & Conditions from time to time.
- The version applying to a booking will normally be the version in force when that booking was confirmed, unless a change is required by law or subsequently agreed with the customer.
27. General
- If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue to apply.
- Failure by Karaoke Box to enforce a provision on one occasion does not prevent us from enforcing it on another.
- Nothing in these Terms affects rights customers have under applicable consumer law.
28. Contacting Karaoke Box
- Cancellation requests, booking changes, pre-orders and special requests should be directed to the Karaoke Box location where the booking was made.
- Please provide the booking name, booking reference, location, date and time so that we can identify the booking.
